The Challenge
The Secretary department is organized within the HRM, ICT & General Affairs group of the Stamicarbon organization, the Licensing and IP center for the Maire Tecnimont Group. This department is responsible for the efficient planning and organization for all secretariat support activities (minutes of meetings, arranging meetings, coordinating travels, and accommodation, etc.) for several departments and does maintain contact between employees and their home base.
As a management assistant you will be part of a team of assistants who work closely together in a challenging and dynamic, international environment. Each assistant has specific Stamicarbon Departments to support in terms of administrating (e.g. meeting minutes, purchasing tasks), planning and organizing travel and hotel accommodations and maintaining agenda’s. The secretariat has a strong sense of responsibility for the service they deliver as a team and therefore, they back up each other where/if necessary. In order to remain aligned with the developing needs of the organization, the secretariat is continuously developing and professionalizing the service it offers to its internal and external customers.
The Candidate
This position will suit a person who has a passion to contribute to the further growth and professionalization of the secretarial discipline within Stamicarbon and thereby facilitating the total organization in realizing the challenging ambitions. You have experience in an (management) assistant role in an international setting. Knowledge and experience in travel management is a pre. Your social sensitivity, tact and a pro-active service mentality are competencies that benefit your role.
Key areas of accountability/responsibility
To support the departments and department managers in organizing and maintaining the (digital) agenda:
• Handling phone calls, prioritizes and arranges “callbacks”, does phone inquiries when needed;
• Schedules, changes, coordinates and prepares appointments and secures the follow up on e.g. deadlines;
• Provides all necessary information to participants of the meetings;
• Screens, prioritizes and adds relevant information in order to prepare handling by the manager.
To plan and organize travel and hotel accommodation:
• Makes travel arrangements and hotel reservations, based on commercial agreements and travel schedules;
• Organizes visiting programs and hotel accommodations for external parties;
• Responsible for all required documentation needed to travel abroad (e.g. visa, work permits etc.);
• Supports in the organization of in-house training sessions for clients/seminars/conferences.
To provide administrative support:
• Coordinates the manager’s workflow in office systems to deal efficiently with the information flow;
• Composes correspondence/reports for own or manager’s signature;
• Prepares and finalizes presentations in PowerPoint;
• Updates delegated tasks to ensure progress to deadlines;
• Assists managers and employees in all practices and procedures resulting from departmental plans & processes.
